A presentation room should not force guests at the back to squint at a laptop-sized display. Check screen size, sightlines and how easily presenters can connect. If your session depends on video or detailed spreadsheets, test the actual content before the meeting begins.
Ask about connectivity early
If several attendees will join video calls, download files or work online at the same time, Wi-Fi should be treated as meeting infrastructure, not an afterthought. For important hybrid sessions, ask whether a wired connection can be made available and carry adapters appropriate to the presenting device.
Keep refreshments away from the agenda
Tea and lunch arrangements can consume surprising amounts of meeting time. Agree where breaks will be served, whether the room needs to be reset, and how dietary requirements will be handled. A simple, well-timed break is usually better than an elaborate service that interrupts the session.
Allow setup time
If the meeting begins at 10:00, the organiser should not be entering the room at 09:58. Build in time to test the display, place materials, check seating and resolve any connection issue before delegates arrive.
A dedicated conference room often feels more purposeful than placing a small team at one end of a large banquet hall.
The Summit at ANVAYA
The Summit is ANVAYA’s dedicated meeting room in Kinnigoli. It is planned at approximately 15 ft × 24 ft with seating for around 20 people and a 65-inch hospitality display, making it suitable for small corporate meetings, training sessions, interviews and private discussions.
